Who we are

Complete Mind Mastery (“CMM”, “we”, “us”) is a community-run organisation offering personal development and peer support workshops in Queensland, Australia. Our website is completemindmastery.org.au.

What information we collect

Depending on how you interact with us, we may collect:

  • Workshop booking details — first and last name, email address, phone number (for confirmation and reminder messages), suburb or postcode, and screening answers such as what is going on in your life, what you hope to get from the workshop, and whether you will attend with good intentions in a sound mental state.
  • Member account details — name, email address, optional phone number (with country code), password (stored securely as a hash, never in plain text), membership application answers, waiver signature status, and photo/video consent preference.
  • Event registrations — which workshops you have registered for as a member, and when reminder emails were sent.
  • Freedom Markers — optional wellness tracking data you or a facilitator enter in the member portal (for example pulse rate or notes), if you choose to use this feature.
  • Contact form submissions — name, email, phone, and your message.
  • Newsletter subscriptions — email address and subscription status.
  • Technical information — standard server and browser data (such as IP address and device type) that may be logged by our hosting providers for security and reliability.

Why we collect your information

We use personal information to:

  • Process workshop bookings and manage attendance
  • Send booking confirmations, venue details, and event reminders by email
  • Send confirmation and reminder text messages to the phone number you provide (when SMS is enabled)
  • Review screening answers so facilitators can prepare a safe, supportive workshop environment
  • Operate the member portal, including login, event registration, and waivers
  • Respond to enquiries submitted through our contact form
  • Send newsletters and community updates to subscribers who have opted in
  • Notify facilitators when someone registers for a workshop
  • Maintain the security and proper functioning of our website and systems

We do not sell your personal information. We do not use workshop screening answers for unrelated marketing.

Screening questions and sensitive information

Our workshop booking form may ask about your current life circumstances and readiness to participate. You choose how much to share. These answers help facilitators prepare for the workshop and support participant safety.

Screening answers are accessible only to authorised CMM facilitators and administrators. They are not shared publicly. Please do not include information you are uncomfortable sharing — you may contact us directly if you have concerns before booking.

CMM workshops are peer support and personal development spaces, not clinical or emergency mental health services. If you or someone else is at immediate risk, please contact emergency services (000 in Australia) or Lifeline (13 11 14).

Who we share information with

We use trusted service providers to operate our website and communications. These providers process data on our behalf and only as needed to deliver their service:

  • Convex — secure database hosting for member accounts, events, registrations, and related application data
  • Resend — transactional email delivery (confirmations, reminders, contact form notifications)
  • Twilio — SMS confirmation and reminder messages when you provide a phone number (planned; not yet active)
  • Cloudflare — website hosting, content delivery, and security

We may also disclose information where required by law, or if necessary to protect the safety of participants, facilitators, or the public.

Email and SMS communications

If you book a workshop or register as a member, we send service-related emails such as confirmations and reminders. These are part of managing your booking or membership and are not promotional.

If you provide a mobile number, we may send booking confirmation and reminder text messages. Message frequency is limited to what is needed for your registration. Standard message and data rates may apply. You can opt out of SMS reminders by replying STOP or contacting us at hello@completemindmastery.org.au.

Newsletter emails are separate. You can unsubscribe at any time using the link in each email or via our unsubscribe page.

How long we keep information

We keep personal information only for as long as needed for the purposes described in this policy, unless a longer period is required by law.

  • Workshop booking records — retained to manage attendance and follow up on registrations, typically for up to two years after the event
  • Member accounts — retained while your account is active; you may request deletion
  • Newsletter subscriptions — retained while you remain subscribed, or until you unsubscribe
  • Contact form messages — retained as long as needed to respond and for our records

When information is no longer needed, we take reasonable steps to delete or de-identify it.

How we protect your information

We use reasonable technical and organisational measures to protect personal information, including secure password storage, access controls for facilitator accounts, and reputable third-party providers with their own security practices.

No method of transmission over the internet is completely secure. While we work to protect your information, we cannot guarantee absolute security.

Your rights

Under the Australian Privacy Act 1988 and the Australian Privacy Principles, you may have the right to:

  • Ask whether we hold personal information about you
  • Request access to the personal information we hold about you
  • Request correction of inaccurate or out-of-date information
  • Request deletion of your information, where applicable
  • Make a complaint if you believe we have handled your information improperly

To exercise any of these rights, email hello@completemindmastery.org.au. We will respond within a reasonable timeframe. If you are not satisfied with our response, you may contact the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au.

Cookies and third-party content

Our website may use essential cookies and similar technologies needed for login sessions and basic site functionality.

We do not currently use third-party advertising or behavioural tracking cookies on this website.

Links to other websites

Our site may link to external pages such as social media profiles, video platforms, or partner services. We are not responsible for the privacy practices of those websites. We encourage you to read their privacy policies before providing personal information.

Children

Our workshops and member portal are intended for adults. We do not knowingly collect personal information from children under 16 without appropriate parental or guardian consent. If you believe we have collected information from a child, please contact us and we will take steps to delete it.

Changes to this policy

We may update this privacy policy from time to time to reflect changes in our practices or legal requirements. The effective date at the top of this page will be updated when changes are made. Continued use of our website after changes are posted constitutes acceptance of the updated policy.
